Privacy Policy

What we collect

• Account information: the name and email address of the people who sign in, and the sign-in method they use.
• Club information: what you put on your website and in your settings — hours, contact details, plans, prices, documents.
• Member information, on your behalf: the records your club keeps in HotRange — names, contact details, dates of birth where a document requires them, vehicles, membership terms and payments, and the documents each member signed, including their drawn signature and the time and network address of signing.
• Site analytics: page views on club websites, counted without cookies and without identifying visitors. If a club connects its own Google Analytics, Google's terms apply to that.

What we use it for

To run the service for your club: showing your website, keeping your roster, recording dues and signatures, sending the emails the service needs (verification, password reset, renewal reminders), and keeping the service secure. We do not sell personal information, and we do not use member information for advertising.

Who processes it

We use a small number of providers to run HotRange, each bound to use data only to provide their service to us: DigitalOcean (hosting and storage, United States), Mailgun (email delivery), Stripe where your club takes card payments (under your club's own Stripe account and Stripe's terms), Google if a person chooses to sign in with Google, and Anthropic (to read roster files a club uploads for import; the file and the extracted rows are not used to train models).

How long we keep it

For as long as your club uses HotRange. Signed documents are kept as long as the club's account exists, because they are the club's records. When a club closes its account, we provide an export on request and then delete the club's data in the ordinary course of business.

Minors

Information about a minor is entered by a parent or guardian, or by the club, for the purpose of a document that requires it. We do not knowingly collect information from a minor directly.

Your rights

Members should contact their club, which controls their records; the club can correct or remove them. Anyone can ask us what we hold about them, ask for corrections, or ask us to delete account information that the club does not need for its records, at the address below.

Changes

When we change this policy we will publish the new version with its effective date.
